WhatsApp Business Multiple Users: how a team shares one number without losing the thread
By NexBDM Team · 2026-09-27
Several people can use one WhatsApp Business number, within limits. What the free app allows, what multi-agent adds, and when a team needs one shared inbox instead.
Yes, several people can use one WhatsApp Business number, but the free Business app caps it at one phone plus up to four linked devices. A paid Meta add-on raises that to ten devices with chat assignment. Past that, or to record every reply against the customer, the number belongs on the WhatsApp Business Platform inside a shared inbox.
How many people can use one WhatsApp Business number?
It depends on which version of WhatsApp the number runs on. We read WhatsApp's own help centre and Meta's developer documentation on 27 September 2026. This is what each option allows:
| Option | What the source says | What it means for a team |
|---|---|---|
| WhatsApp Business app (free) | "You can use up to four linked devices and one phone at a time." | Five screens, one account. Fine for an owner and a helper. Tight for a sales or service team. |
| Business app with multi-agent | Multi-agent lets a business "connect up to 10 devices to their account and assign chats to individual sales agents". It is "a premium feature available through a Meta Verified for Business subscription or a Meta One business plan". | Ten devices, chats can be assigned, and you can see which agent sent which message. Still an app on devices. |
| WhatsApp Business Platform (API) | Meta describes it as the option that "enables businesses to communicate with customers at scale". | The number is connected to software instead of a phone. People log in to the software, so access follows user accounts, not handsets. |
One more line from the linked devices page matters for any team that relies on a spare office phone: "Linked devices work without your phone online, but will log out if your phone is unused for over 14 days." Leave the main phone in a drawer over a long holiday and every linked screen drops off together.
What goes wrong when a team shares one phone?
The device limit is rarely the real problem. The real problem is that the conversation lives on devices instead of in the business. That shows up in four ways:
- Nobody knows who replied. Two people answer the same customer, or both assume the other did and nobody does.
- History leaves with the person. When a staff member moves on, the context of every chat they handled sits on a phone the business no longer controls.
- WhatsApp becomes an island. The same customer also emails, calls and messages on Facebook. Each channel has its own history in its own app, so no one sees the whole relationship.
- Follow-ups depend on memory. A quote sent on WhatsApp has no reminder attached to it. It gets chased if someone remembers.
Response speed suffers in exactly this setup. We traced the research on that in our post on speed to lead: the delay is almost never effort, it is messages sitting where nobody is looking.
Which option fits your business?
- One or two people, one channel. The free Business app with linked devices is enough. Keep the main phone in daily use so the linked devices stay signed in.
- A small team that only uses WhatsApp. Multi-agent on the Business app adds assignment and a record of which agent sent what. It is still device-based and still WhatsApp only.
- A team that serves customers across WhatsApp, email, calls and social. Connect the number to the WhatsApp Business Platform through a shared inbox, so every channel lands in one place and every conversation is tied to the customer record.
The Platform route changes how messaging is billed. Meta charges per message for some message types, and service messages become chargeable from 1 October 2026. Meta's pricing page, updated 10 September 2026, adds that "Each business phone number has one shared free tier of 1,000 delivered service messages per month". We set out what Meta's documentation says in WhatsApp Business API cost per message, and how a CRM on WhatsApp works in WhatsApp CRM in South Africa.
How NexBrand gives a team one WhatsApp number and one inbox
NexBrand is the omni-channel communications platform we set up and manage for you. For a team sharing a WhatsApp number, this is what changes in practice:
- The number lives in the business, not on a phone. It is connected through Meta's WhatsApp Business Platform, so staff log in to NexBrand with their own user and the conversations stay when people change.
- Every channel in one inbox. WhatsApp, email, calls, social messages and web chat arrive in the same list, so the whole team sees the whole conversation.
- Chats are assigned, not guessed. New conversations are routed to a person by rule, and every reply shows who sent it.
- History sits on the customer record. Each conversation is attached to the contact and the deal in the pipeline, so the next person picks up with full context.
- Follow-ups come from the system. A quote sent on WhatsApp can start a reminder or a follow-up sequence, instead of relying on someone to remember.
We handle the setup: the number connection, the inbox, the routing rules and the templates Meta requires for messages outside the customer service window. Your team just answers customers.
Frequently Asked Questions
Can two people use the same WhatsApp Business number?
Yes. The free WhatsApp Business app allows one phone and up to four linked devices on the same account, so two people can reply from separate devices. Neither can easily see which of them sent a given message.
How many devices does WhatsApp multi-agent allow?
WhatsApp's help centre says multi-agent lets a business connect up to 10 devices and assign chats to individual agents. It requires a Meta Verified for Business subscription or a Meta One business plan.
Why do linked devices keep logging out?
WhatsApp says linked devices log out if the main phone is unused for over 14 days. If the account's primary phone sits in a drawer, every linked screen signs out together and has to be reconnected.
Do I need the WhatsApp Business API for a team inbox?
For a small team on WhatsApp only, the Business app may be enough. For several people across WhatsApp, email, calls and social, the Business Platform connected to a shared inbox keeps every conversation on the customer record.
