A WhatsApp template is a message wording that Meta has approved in advance, so your business can start a conversation or reach a customer outside the 24-hour reply window. Approve it once and every reminder, follow-up and after-hours reply goes out the same way, in the same tone, every time.

What is a WhatsApp template, and why does Meta make you approve it?

Inside a conversation the customer started, you can reply freely for a limited window. Outside it, or when your business speaks first, WhatsApp only lets you send a template: fixed wording with blanks for the name, date or order number. Meta reviews each one before it can be used, and its guidelines say review can take up to 24 hours.

The approval step feels like red tape until you see what it protects. Your customers do not get surprise messages, and your number keeps a good quality rating. The cost is that you cannot improvise. If the wording is wrong on the day, you wait.

We read the suggestions Google returns for "whatsapp templates" (probed on 28 September and again on 7 October 2026). The business ones are: meta, pricing, for business, examples and types. The practical point: a reminder written as a utility message and a reminder written as a promotion can cost different amounts, because the category is set by what the message is for. Which templates does a small business actually need?

Most businesses need five, and they map to moments where work usually stalls.

  1. Booking confirmation and reminder. Cuts no-shows without anyone phoning.
  2. Follow-up after an enquiry. Reaches the lead who went quiet, in the same hour every time.
  3. Quote or invoice nudge. A polite reminder that arrives on schedule instead of when someone remembers.
  4. After-hours reply. Tells the customer when a person will answer, so they are not left guessing.
  5. Order or job update. Answers the question customers ask most before they ask it.

Why do templates become a mess once more than one person sends them?
